WhatsApp Business: How to set up and use WhatsApp Business profiles

The popular messaging platform WhatsApp has announced its standalone app for businesses known as WhatsApp Business. Just a few days after its global rollout, the app is now available to download for Android users in India. It is free to use and allows businesses to communicate with their customers in an effective way using the messaging app.

The new WhatsApp Business app is a dedicated version of the messaging app for small and medium businesses and users will need a dedicated number to use this. The app offers all the features of regular WhatsApp and also adds some extra features to it. So, let’s see how to create your WhatsApp Business profile and look at the app’s features.

WhatsApp Business: How to register

First of all, download the WhatsApp Business app from the Play Store. Now, after installing, open the app and go through the initial setup process which includes entering and verifying your phone number via an OTP.

Next, you will need to enter your business name, which could be your company’s or organization’s name. You should note that you will not be able to change the name of your business once created. So, while you enter the name, it should be the final one.

After the profile is set up, you will be taken to the app’s homepage. The homepage is similar to the regular app where you have the quick access to camera shortcut on the left, three tabs – chats, status and calls above. On the top-right corner, there are three-dot menu button and at the bottom, you have the icon to start a chat.

How to set up WhatsApp Business profile

One of the interesting features of the WhatsApp Business is that you can create your business profile and add your business details. In order to set up a Business profile, first tap on the three-dot menu on the top right, then tap on ‘Settings’ and then ‘Business settings’.

Now, the first option is profile settings where you can set a display picture and your business address. You can also add the location of your business on Google Maps so that it becomes easier for customers to simply tap on the map and navigate to your location.

Next, you can choose a category for your business among given options such as automotive, clothing, finance, restaurant and transport etc. You can also add the business description and describe what your business does. You can also add working days and hours for your business. Next, you get to add your business email address, and website as well.

Once all these above-mentioned details are added, tap on save on the top right corner. The next section in Business profile is statistics, where you can see the stats such as the number of messages you sent and received, the ones delivered, and the ones read by your users. Next option is Messaging tools.

Messaging Tools on WhatsApp Business

Another interesting and useful feature that comes with WhatsApp Business is the messaging tools option. It can be accessed from business settings as mentioned. You will see three options here- Away message, Greeting message, and Quick replies.

Away message comes in use when you are away i.e. your business hours are over. Customers can contact you outside of business hours that you defined in settings. You can also set a customized away message to always send when customers try to contact in odd hours.

The second option is the Greeting message which can be used to greet the customers when they contact you for the first time. When they send a message for the first time a greeting message will be sent to them automatically which you can also customize. The message will also be sent if there is 14 days of inactivity between you and the customer.

Lastly, there is ‘quick replies’ option that can make it easier for you to communicate with the customers. For example, you can define ‘thanks’ as a quick reply instead of typing out “Thanks for your interest”.

Apart from all these features, all other features of WhatsApp Business are similar as the regular app. Such as, you can hide your last seen, profile picture and status from everyone, or from people in your contact list. Moreover, all chats are also end-to-end encrypted. You can also change your phone number, and delete your account as well.

So, the WhatsApp Business app looks quite interesting and could be very useful for such users who have a small or medium business and have to contact their customers very frequently.
